This website relates to property owned by Tamarack Gardens Ltd. (the “Owner”). Royal Management Services Inc. (“RMS”) acts as property manager for the Owner and is a licensed real estate brokerage in the Province of Alberta. In this Privacy Policy, “we,” “us,” and “our” refer to the Owner and RMS, as applicable to the circumstances.
The Owner and RMS are committed to protecting the privacy of visitors, tenants, applicants, and anyone who contacts us. This policy explains what personal information we collect through this website and in connection with the leasing and management of the property, how we use and protect it, who we share it with, and the choices and rights you have. It does not replace the terms of separate agreements or notices that may apply to information collected through a signed lease, tenancy application, or other transaction.

Personal information we collect
Information you provide directly. We collect the personal information you choose to give us. Our website contact form collects your name, email address, and the contents of your message. You may also provide personal information when you:
- submit a “Rent with RMS” or media inquiry, or otherwise reach out to us;
- inquire about renting, leasing, or applying for one of our properties;
- inquire about development, construction, property management, or partnership opportunities;
- subscribe to updates or insights (if offered); or
- correspond with us by mail, email, phone, fax, social media, and any form of electronic communication.
Depending on how you contact us, this may include your name, email address, phone number, mailing address, the property or service you’re interested in, and any other details you choose to share.
Rental and property management information. If you inquire about or apply to rent at the property, or become a tenant, the Owner and/or RMS may collect additional information needed to assess and manage a tenancy — such as identification, rental history, employment and income details, emergency contacts, and, where you consent, information used for tenant screening (including credit and background checks). RMS may also process rent and utility payment information and resident communications on behalf of the Owner. This information is generally collected through the application and leasing process, which may include previous landlord references, rather than directly through this website.
Information collected automatically. When you visit our website, we and our service providers may automatically collect technical information such as your IP address, browser type, device information, pages viewed, referring pages, and the dates and times of your visits. This is collected through cookies and similar technologies (see Cookies below).
Media. If images are uploaded to the website, we take care to avoid publishing images that contain embedded location data (EXIF GPS). Please note that visitors can download and extract any location data from images published on a website.
How we use your information
The Owner and RMS may use the personal information we collect to:
- respond to your inquiries, requests, and comments;
- process and follow up on rental, leasing, and property inquiries and applications;
- assess tenancy applications and manage tenancies, including tenant screening where you have consented;
- provide, operate, maintain, and improve this website and property management services;
- process rent, utility, and related payments and administer the property accordingly;

- support communications and activities related to the ownership, leasing, operation, and management of the property;
- maintain the security of our website and prevent fraud or misuse; and
- comply with the Owner’s and RMS’s legal, regulatory, contractual, brokerage, and record-keeping obligations.
The Owner and RMS only collect and use personal information for purposes that a reasonable person would consider appropriate in the circumstances and obtain consent where required by law.

The Owner and RMS do not sell your personal information. Personal information may be shared in the following limited circumstances:
- Service providers. The Owner and/or RMS may share information with third parties that perform services in connection with the website or property — such as website hosting, analytics, email delivery, payment processing, maintenance and operational services, and, for tenancy applications, tenant-screening and credit-reporting agencies. These providers may use your information only as necessary to provide services to the Owner or RMS.
- Between the Owner and RMS. Personal information may be shared between Tamarack Gardens Ltd., as Owner, and Royal Management Services Inc., as property manager and licensed real estate brokerage, where reasonably necessary to administer rental applications, leases, tenant relationships, payments, property operations, regulatory requirements, or other property management services. RMS may also share information within The RMS Group of Companies where reasonably necessary to provide administrative or operational support for its services to the Owner.
- Password resets. If you request a password reset for a website account, your IP address may be included in the reset email.
- Legal and regulatory reasons. The Owner and/or RMS may disclose information where required to comply with applicable law, respond to lawful requests, meet legal, regulatory, brokerage, and record-keeping obligations, enforce agreements, or protect the rights, property, or safety of the Owner, RMS, tenants, or others.
- Business transfers. If the property, the Owner, RMS, or relevant assets or business operations are involved in a sale, financing, reorganization, merger, acquisition, or other business transaction, personal information may be transferred or disclosed as part of that transaction, subject to applicable law.
Where your information is stored
Our website is hosted by a third-party provider whose servers may be located outside of Canada, including in the United States. As a result, your personal information may be stored and processed outside your province or country and may be subject to the laws of the jurisdictions where it is held. We take steps to ensure your information is handled with appropriate safeguards wherever it is processed.
How long we retain your data
The Owner and RMS retain personal information only as long as necessary to fulfill the purposes described in this policy, or as required to meet legal, regulatory, brokerage, accounting, reporting, contractual, or record-keeping obligations, after which it is securely deleted or de-identified.
If commenting or user registration is enabled: comments and their metadata may be retained so follow-up comments can be recognized automatically, and registered users can see, edit, or delete their profile information at any time (except their username); administrators can also see and edit that information.
How we protect your information
The Owner and RMS use reasonable administrative, technical, and physical safeguards designed to protect personal information against loss, theft, and unauthorized access, use, or disclosure. No method of transmission or storage is completely secure, however, so absolute security cannot be guaranteed.
Your privacy rights
Subject to applicable Canadian privacy law (including the federal Personal Information Protection and Electronic Documents Act and Alberta’s Personal Information Protection Act), you have the right to:
- access the personal information we hold about you and request a copy of it;
- correct inaccurate or incomplete information;
- withdraw consent to our collection, use, or disclosure of your information, subject to legal or contractual restrictions; and
- request deletion of personal information we hold about you. This does not include information we are obliged to keep for administrative, legal, regulatory, or security purposes.

If you are not satisfied with our response, you have the right to make a complaint to the Office of the Privacy Commissioner of Canada or the Office of the Information and Privacy Commissioner of Alberta.
Children’s privacy
